We strive towards improving the health and wellbeing of our rural communities and believe in creating opportunities so all Victorians have the choice to access essential primary health care services. About the role and you RFDS Victoria are now accepting applications for a Senior Administration Assistant to support and play a key role in ensuring the day to day smooth operation of the Marketing & Fundraising and Primary Health Care Teams. The successful applicant will be expected to support two General Managers in relation to their diary management, travel requirements and preparation for meetings and you will support the wider teams with general administrative duties. A high degree of accuracy, responsibility and confidentiality is required in carrying out assigned duties. The incumbent must handle confidential information appropriately. A high level of time management skill is required, with the ability to prioritise competing deadlines.This is a busy and varied role which requires someone with a flexible attitude. The role requires a self-starter with initiative and someone with both excellent people and organisational skills.Key duties and Responsibilities Coordinate and manage all aspects associated with schedules, appointments and bookings for the General ManagersRegular liaison with EA to CEOProactively manage both emails and letters receivedEnsure timely submission by the GM of papers duePrepare draft correspondence on a wide range of issues as requiredProject administration support as requiredEnsure invoices and credit card statements are lodged in a timely mannerAssist with daily mail openingCo-ordinate relevant staff responses and/or input into projects, programs, reports, correspondence and corporate issuesPrepare agendas and minutes of various internal and external meetings convened or attended by the General Manager Provide support to the Operational Management Team as requiredManage departmental overflow phone callsKey selection criteria Diary Management Excellent phone mannerExcellent communication skillsA high level of accuracy and confidentialityAbility to adapt to a changing workloadSolid Microsoft Office skills including TeamsStrong interpersonal & verbal communication skillsHighly organisedFriendly, open and enthusiastic dispositionEA temp cover experience would be favourableDiscretion when working with sensitive, personal and confidential informationYou will be joining an energetic and dedicated team who are passionate about providing a high level of support towards the work of the Flying Doctor across Victoria.
